TOWNSHIP OF ESQUIMALT MEMORANDUM

MEETING DATE:  July 22, 2024                     Report No. ADM-24-046

TO:                                            Council

FROM:                                           Vicki Gannon, Director of HR and Community Relations

SUBJECT:                      Updates to Councill Policies

INFORMATION:

Two Council policies are attached with recommended changes:  PER-02, Employee Recognition, and PER-06, Code of Conduct for Patrons & Visitors.

The updated Employee Recognition Policy, PER-02 went to Council in July of 2023, for implementation in 2024. The policy stated that staff being recognized could choose a Municipal pin, or medallion, a framed photo, or a pen.  The Township has changed providers, and the municipal pins now cost approximately $7.50 per pin.  As per the recommended changes to the policy, staff are recommending that each employee being recognized received a pin, along with a gift of their choice (either a pen or a framed photo).

At the April 9, 2024 Council meeting, Council approved a new policy: Code of Conduct for Patrons and Visitors, PER-06.  Since its implementation, it has been determined that the language should be clearer, to include appropriate code of conduct not only when patrons or visitors are using the Township’s facilities, but also when telephoning, emailing, or approaching employees while working in the community.

Staff are recommending that Council approve the suggested changes to Council Policies PER-02 and PER-06, as outlined in the attached two documents.
