SUBJECT:                      Proposed Amendments to the Capital West Accessibility Advisory Committee Terms of Reference

 

INFORMATION:

 

At the Capital West Accessibility Advisory Committee meeting held September 24, 2025, an amendment to the Committee’s Terms of Reference was considered to add roundtable discussions as a standing item on all Committee agendas, as shown in Attachment 1.

 

The overarching rationale for the proposed amendment is to provide greater flexibility for Committee members to discuss matters arising or sharing information falling within the mandate outlined in the Terms of Reference. The amendment is further based on best practices provided at a webinar on hosting successful accessibility committees presented by Disability Alliance BC in June 2025, and feedback provided by Committee members. The memorandum provided to the Committee regarding the amended Terms of Reference is provided in Attachment 2.

 

The Committee unanimously passed the following motion in support of the proposed amendment to the Terms of Reference:

 

That the Capital West Accessibility Advisory Committee recommends to Council that the Capital West Accessibility Advisory Committee Terms of Reference be amended by adding “7) Roundtable Discussion” to Section 5.4 and renumbering the subsequent order of business, adding Section 5.5 outlining provisions for the roundtable discussion and renumbering the remainder of the section, as outlined in Attachment 1: “Capital West Accessibility Advisory Committee Terms of Reference - Amended.”

 

This proposed amendment is now before Council for direction.

 

RECOMMENDATION:

 

Recommendation

That Council approve the amendments to the Capital West Accessibility Advisory Committee Terms of Reference by adding “7) Roundtable Discussion” to Section 5.4 and renumbering the subsequent order of business, and adding Section 5.5 outlining provisions for the roundtable discussion and renumbering the remainder of the section, as outlined in Staff Report No. ADM-25-052.
