SUBJECT: 2024 UBCM Requests for Meetings with Cabinet Ministers
INFORMATION:
At a meeting held May 27, 2024, Council was asked to consider whether any meetings with Cabinet Ministers were desired during the upcoming 2024 Union of British Columbia Municipalities (UBCM) Convention and, if so, provide detailed direction to staff at the subsequent meeting on June 3, 2024. This was to allow Council time to consider the information, identify significant issues, and prepare the details necessary to complete any identified meeting requests within the prescribed submission deadline.
Information to keep in mind when considering whether to submit any meeting requests include:
• there is no obligation to request any meetings each year;
• not all requests for meetings are granted;
• meetings are limited to approximately 10 minutes for discussion; and
• define specific outcomes of each meeting to assist in keeping the brief meetings focused on a key issue.
If Council wishes to meet with any Cabinet Ministers, the following information is required to be provided to staff to submit the request:
• Name of Cabinet Minister or Parliamentary Secretary
• If multiple meetings are requested Council must provide preference order
• Indicate whether the MLA will also be invited to attend
• Identify who will be representing Esquimalt at the meeting
• Identify the primary Esquimalt contact person at the Convention
• Outline the topic of discussion (up to 3, maximum 100 characters each)
• Give background information for each topic of discussion (maximum 700 characters) including context, timeframe, parties involved, and previous step or actions taken
• Include a one sentence summation of what you would like from the meeting (maximum 300 characters)
The invitations from the Premier (Attachment 1) and the Minister of Municipal Affairs (Attachment 2) are attached for reference.
Council direction is requested to appropriately action this item.
